One Record Per Trainee, Inquiry to a Year After Hire

How a US disability-services nonprofit put an end-to-end workforce training journey and made it usable by the people it serves

The Situation

A US not-for-profit supports people with disabilities and delivers adult vocational training across maritime, manufacturing, logistics, skilled-trade, service, and IT programs. Its learner journey spans inquiry, screening, assessment, intake, registration, certification, placement, and follow-up. Each stage was recorded somewhere different.

The mission depends on following one person over a long arc, but the systems could not. Inquiry through placement lived in separate forms and files, so staff re-keyed the same person at each stage and no single trainee record existed. Intake alone used seven unlinked documents. Nothing ensured every applicant was informed, consistently screened, and scheduled for a vocational assessment when qualified.

What Was Really Happening

The biggest gap came after placement. Assessments at 30 days, 90 days, 6 months, and 1 year had no system of record, so funder and KPI reporting was rebuilt by hand each period and arrived too late to act on. The organization was also expanding from one certification course to a full program slate. Every new course multiplied the same unlinked forms and re-keying.

The Core Problem

A long, high-stakes trainee journey recorded across disconnected forms, with no unified constituent record, no enforced screening or assessment workflow, no system of record for the post-hire outcomes funders judge the programs by, and a manual administrative model that could not scale with course expansion.

The Solution

Softype implemented edERP, its NetSuite-native education and workforce-training solution, around the organization’s actual trainee journey. A shared-responsibility model enabled staff to maintain and extend it after go-live.

How We Got to the Results

We configured the system around the real trainee journey, not a generic student model. After go-live, trainees still struggled with six required forms because the native portal had no form buttons, progress view, or responsive layout. Rather than build and integrate a separate web app, we delivered the solution inside NetSuite in under a month, shaped by stakeholder feedback.
